Administrator

Key tasks

  • Assist in the development and implementation of communication strategies for our new triaging system, ensuring clarity and accessibility for all users.
  • Create informative materials (e.g. brochures, flyers, newsletters) to educate beneficiaries of our services
  • Assist organising and managing our drop-in sessions, including scheduling, logistics and volunteer coordination. Maintaining accurate records of attendance and feedback to improve future sessions
  • Support the management of our advice line, ensuring that inquiries are logged, tracked, and responded to in timely manner.
  • Collaborate with team members to ensure that accurate and up-to-date information is available for callers seeking assistance.
  • Coordinate the planning and execution of parent carer sessions, including scheduling, resource preparation and participant engagement.
  • To undertake a wide and varied range of administrative duties as required to include receiving/recording of referrals and distributing daily post, responding to telephone enquiries, minute taking and signposting.
  • To provide administrative support for staff and volunteers and ensure that all personnel files are maintained and up to date.
  • To purchase office stationery and equipment
  • To undertake any relevant training to up-date skills and knowledge as appropriate to the role.
  • To attend and participate in full team meetings and one to one meetings with line manager.
  • To use initiative, work autonomously and as part of a team.
  • To work outside normal working hours, on occasion, if required.
  • To support event and meeting administration planning.
  • To collate of service monitoring and evaluation data.
  • To greet visitors to the offices and direct as necessary, organise meeting room bookings and ensure meeting rooms are clean and tidy.
  • To answer the office phone accordingly with a friendly and professional approach.

Personal Specification

 

Experience and Knowledge

Excellent organisational skills, with the ability to prioritise conflicting demands on own workload, using own initiative, through a flexible approach to duties.

 

Exceptional administration skills, with a high degree of accuracy.

 

Experience of the Third Sector.

 

Experience of working with and supporting volunteers.

 

Experience of working on accounts & payroll software.

 

Advanced level computer skills including Microsoft Office Suite of programs, Excel, Word, PowerPoint, Outlook
